Laundry Customer Texts: Booking, ETAs and Owner Follow-Up

Booking links and routine updates have cut down the back-and-forth for me. These sample messages show where automation helps and where I'd step in.

I used to talk people through the whole booking process while trying to get through my day. Then there were the ETA texts and little updates. Keeping up with all of that while running routes took a lot of my attention.

Now I can send a booking link and the customer books. Routine service updates and ETAs can go through Kalia, the text assistant in Tama OS. I still handle questions that need me, but I'm not repeating the same booking steps on the phone all day.

These are example messages you can adapt for your laundry business. They aren't quotes from my customers or a promise that every message should be automated. Replace the brackets and only send information you've confirmed.

A first-time booking

Hi [first name], you can book your pickup here: [booking link]. You'll be able to choose an available window and add your address and laundry instructions. If there's something unusual in the order, let me know.

The booking page should answer the questions you'd otherwise repeat: where you collect, when you can come, how pricing works and when the laundry returns. A link won't save much back-and-forth if the customer still has to text you for every detail.

I'd try the page on a phone before sending it out. The online booking guide covers the details to check.

Confirming access before pickup

Your pickup is booked for [day], [window]. Please have the bags at [agreed pickup spot]. Has anything changed with the building access or pickup instructions?

Only use an agreed pickup spot. Don't assume that leaving laundry outside is appropriate for every home or building. If access changes, make sure the updated note reaches the person doing the pickup.

An ETA that's actually useful

Hi [first name], your driver is expected between [time] and [time]. We'll send an update if that changes.

I'd use a window you can reasonably meet. Sending a precise arrival time that you can't keep creates more questions. If your system doesn't send another update automatically, somebody needs to follow through on that promise.

Set up or review messages while parked. The point of routine updates is to reduce interruptions while you're driving.

A delayed return

Hi [first name], your laundry won't be ready for the original [window]. We can return it [confirmed new window]. I'm sorry for the delay. Does that still work for you?

If you don't know the new window, say that and give a time you'll check back. I'd rather give someone an honest update than guess to get a message off my plate.

A reply saying the new time won't work needs a person to make a decision. Don't let an automated acknowledgement stand in for an actual arrangement.

Questions I'd keep with the owner

A routine “how do I book?” is different from a complaint about an item or a request you haven't agreed to provide. I'd personally review damaged or missing-item concerns, disputed charges, unusual care requests and exceptions to the promised turnaround.

Automation can acknowledge that a message arrived. It shouldn't invent an explanation, promise a refund or approve an exception you haven't agreed to. Keep the customer's original message attached to the order so you can respond with the details in front of you.

Test the follow-up, too

Before relying on a text workflow, send a test message and reply to it. Check where that reply lands and who will notice it. Then try a changed pickup window and an access problem. Can the driver see the updated information?

That's part of the software demo checklist. If you're comparing vendors, test the same conversation in each system; the CleanCloud alternative guide also lists the texting costs to ask about.

I built Tama OS because I wanted more time for customers and growth instead of constantly trying to keep up. You can see the platform or request a walkthrough using the kinds of messages your customers actually send.
